Who we are

Swift CPD provides CPD record-keeping software for Australian pharmacists. We can be contacted at support@swiftcpd.com.au.

Information we collect

• Account information — your name, email address and password credentials (passwords are stored in hashed form by our authentication provider), or your Google account identifiers if you sign in with Google.
• CPD content you provide — CPD activity details, learning summaries, reflections, credits, competency standards, and the certificate files you upload.
• Preferences — settings such as your CPD period start date and annual credit target.
• Messages — anything you send us through the contact form or by email.
• Technical information — standard server and security logs generated when you use the service.

How we use your information

• To provide your account, store your CPD records and display your portfolio.
• To read uploaded certificates using an AI provider and prepare a draft record for your review.
• To provide support, respond to your messages and keep the service secure.
• To meet legal obligations that apply to us.

We do not sell your personal information, and we do not use your CPD content to advertise to you.

AI processing

When you upload a certificate, the file is sent to a third-party AI provider to extract the details it contains and to draft suggested text. Output is always presented to you for review and editing before it is saved. You can add CPD activities manually instead of using AI reading.

Storage and security

Records and files are stored with a managed cloud database and storage provider and are transmitted over encrypted connections. Certificates are held in a private storage area and access rules restrict records and files to the account that created them. No online service can be guaranteed to be completely secure.

Disclosure

We disclose information to service providers who help us operate Swift CPD (cloud hosting, database and storage, authentication, AI processing, and email delivery once configured), and where required by law. Some of these providers may store or process data outside Australia.

Retention and deletion

We keep your CPD records for as long as your account is active, so historical CPD periods remain available to you. You can delete individual records and certificates at any time, and you can request deletion of your account by emailing support@swiftcpd.com.au.

Access and correction

You can view and correct your information at any time inside the application, and export your CPD records. If you would like a copy of other information we hold about you, or you believe something is inaccurate, contact us.

Complaints

If you have a privacy concern, email support@swiftcpd.com.au and we will respond. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner.

Changes to this policy

We may update this policy as Swift CPD develops. Material changes will be notified in the application or by email.
